PURPOSE OF THE JOB

Sappi Southern Africa – Forests is seeking a suitably quaified candidate to ensure that the purchase order process and admin functions at the Shaw Research Centre operate professionally and effectively.  Service driven delivery to ensure objectives are met.

REPORTING TO:   SENIOR ADMINISTRATION OFFICER

MAIN RESPONSIBILITIES

  • Generate accurate Purchase Orders by using SAP in order to maintain the smooth running of the Research Unit
  • Ensure that purchase requisitions, order numbers and tax invoices are processed using SAP to ensure that Vendors’s are paid in line with company policy and internal procedures
  • Daily filing of records and documents, current and historical, using Research, Planning & Nursery system, as per Audit Requirements
  • Capture Data, by tracking orders on SAP, to ensure timeous deadlines are met
  • Compile monthly report for Senior Admin Officer, through SAP reporting, for department forecast tracking
  • Maintain Research & Nursery admin duties effectively, as and when required
  • Serve as a back up to the Senior Admin Officer, by providing support, to ensure continuous running of systems

Reception

  • Provide support at the reception desk, by tending to all calls and enquiries to ensure company image and brand is maintained
  • Receiving visitors at the front desk by greeting, welcoming, directing and announcing them appropriately to ensure high level of company image is maintained
  • Manage couriers by creating weigh bills and tracking, to assist department by sending and receiving highly valued materials Staff
  • Assist with the processing of various allowances by timeously providing the necessary documentation to payroll for processing according to company guidelines

Office

  • Manage petty cash, by checking, issuing and reconciling, for emergency purchases
  • Manage the stationery requirements, by stocktaking, for general office consumption
  • Maintain vehicle licence register for the Shaw Research Centre, by managing distribution of licence discs for legal requirement purposes
  • Participate in the Safety Health Environment Quality programmes, by representative and register control for Safety Legal requirements

MINIMUM REQUIREMENTS: QUALIFICATIONS / EXPERIENCE

  • Grade 12
  • Up to 3 years experience
  • Driver’s License essential
  • An Admin, financial qual
  • Strong computer literacy with SAP preferable
